1. Who we are

YiwSAMA Technologies, registered in Ghana under the Companies Act 2019 (Act 992) and located at Madina UN Road, Near Astroturf, Madina, Accra, Ghana, is the data controller for personal data collected through this website. 2. What we collect

• Contact details you submit through our project request form: name, email address, phone number, company name and role.
• Project information you choose to share: project description, budget range, timeline and any documents or links you provide.
• Billing information required to raise and settle invoices, such as billing name and address. Card details are entered directly with our payment provider and are never stored on our systems.
• Technical data generated automatically when you browse the site, such as IP address, browser type and pages visited, used for security and aggregate analytics.

3. Why we use it

• To respond to your enquiry and prepare a scoped quotation.
• To deliver, support and invoice agreed services.
• To keep accounting, tax and contractual records as required by Ghanaian law.
• To secure our website and prevent fraud or abuse.

4. Legal basis

We process personal data where it is necessary to take steps at your request before entering a contract, to perform a contract with you, to comply with a legal obligation, or for our legitimate interest in operating and securing our business. Where we rely on consent — for example optional updates — you can withdraw it at any time.

5. Who we share it with

• Cloud hosting and database providers that run this website and our internal systems.
• Transactional email providers used to deliver enquiry notifications and correspondence.
• Regulated payment processors that handle invoice payments on our behalf.
• Professional advisers, auditors or regulators where we are legally required to disclose information.

6. We do not sell your data

We never sell, rent or trade personal data, and we do not use client project information to train third-party AI models.

7. International transfers

Some of our service providers operate outside Ghana. Where personal data is transferred internationally, we use providers that apply recognised safeguards and contractual protections equivalent to those required under Ghana's Data Protection Act 2012 (Act 843).

8. How long we keep it

Enquiries that do not become engagements are retained for up to 24 months. Client and financial records are retained for at least six years to satisfy accounting and tax obligations. After the retention period data is deleted or irreversibly anonymised.

9. Security

Data is encrypted in transit, stored on access-controlled infrastructure, and reachable only by staff who need it for their role. Administrative systems require authenticated accounts with role-based permissions, and access is reviewed regularly.

10. Your rights

• Request a copy of the personal data we hold about you.
• Ask us to correct inaccurate or incomplete data.
• Ask us to delete data we no longer have a lawful reason to keep.
• Object to or ask us to restrict certain processing.
• Complain to the Data Protection Commission of Ghana.

11. Cookies

We use only essential cookies and equivalent storage needed to keep the site working and to keep authenticated sessions secure. We do not use advertising or cross-site tracking cookies.

12. Changes

We review this policy periodically and publish any updates on this page with a revised effective date. Material changes affecting existing clients are communicated by email.
